How to use paaonline.net is a one stop website for all purposes- submitting papers, reviewing them, allocating Referees and making decisions on the papers. Each user who logs in has a different level of entry. For example, any new user by default can be an Author and a Referee. Associate Editors (AE) have been granted a higher level of entry where they can assign Referees and make decisions on papers. Finally, the Editor-In-Chief (EIC) can monitor the papers assigned to Associate Editors but does not take any action on them unless a final recommendation has been received from the Associate Editors. Logging inThe easiest way to use the system is to first login. On the very first page, top right corner there is a login icon that should be clicked. and EIC are not new users. When an Associate Editor was added to the system they should have received a login and password which they can use. They can after logging in change their profile details and also change password if needed. Authors who use the system for the first time need to create their profile through "New User" where they specify their login name and password and then log into the system using that. Referees cannot create their own account to login unless they are registered as an Author in which their old login should work. When an Associate Editor assigns you as a possible Referee, you will get an email with login details that allows you to login. Depending on the level of entry, you will see the icons that best represent your requirements to manage papers. AuthorsIf you are submitting a paper, simply follow the links on submitting a new paper. Earlier papers that have been submitted can be tracked using the submitted papers icon. The papers should be submitted as postscript and any further attachments as ZIP files. Please ensure that the files are not too large > 2MB or else the system will reject them. Once you have submitted the paper, you will get an email acknowledgement. Once the final decision on the paper has been received, you will get another email from the EIC on the decision and from the website account you will be able to see the reports and decision letter. Further revised manuscripts need to be submitted online as revisions of papers that have been decided on. RefereesIf you are a Referee, you will initially receive an email from the AE who invites you to review a paper containing your password details. Once you log into the system, you will have an opportunity to accept or reject to review. If you reject or accept, the AE will be automatically informed of your decision. Should you accept, the paper details will be moved into your account and you will be able to download the paper. You will also receive an email from the AE detailing the time allowed for review and any other requirements. All reviews can be submitted online and after the submission of your review and when a decision on the paper is made, you will get further emails on paper status and you will be able to monitor this online. In case your review is late, you will get reminder email. Associate EditorYour account shows you completed and new documents. By selecting and viewing them, you can get full details of their status. The first task is to assign Referees for new papers. When you view a paper detail, at the left is the link for allocating Referees. You need to allocate Referees online. There are two ways to do this. You can search for Referees from our database based on keywords, which is the "Search for a Reviewer" option in the "Add a Reviewer" window. This database grows as more Referees get invited. Otherwise you can simply add the name, email and institution of the Referees and click on the submit button. The details of this Referee now appear on the document details page as the one who has been requested to review the paper. The Referee will be sent an email automatically by the system in your name inviting them to review and giving them password/login details. If they accept or reject to review by logging in, you will receive an email of their decision on the basis of which more Referees can be invited if needed. If you do not have sufficient Referees agreed within the first week of paper allocation, then please do invite a couple more as the situation requires for a minimum of 3 reviews finally. If the Referee accepts, then they will automatically receive an email giving them roughly 5-6 weeks for the review. They will be asked to submit reviews online. You can remove a Referee provided that you email them and let them know that their services are not needed. Please use this functionality cautiously. The system will automatically chase Referees when they are late. In case you need to write to the Referee yourself, please click the symbol "e" next to the Referee name. A window will open for you to write the email. You can obviously download the paper and also add comments for future reference. Once a Referee has submitted their review, a thank you note will be sent to them automatically and you will get an email. The review is now available in your account to browse. Once all reviews are in, you can make a decision on the paper and send to EIC who will communicate it to the Authors after any moderation if necessary. The Referees and yourself will be informed of this decision both online and by email. On their web account the Referees will be able to monitor all papers they have to review, their status, completed manuscripts and if they are running late on certain papers. |
